1. INTRODUCTION AND ACCEPTANCE OF TERMS
Akiya CRM (hereinafter referred to as the “Platform,” “Akiya CRM,” “we,” “us,” or “our”) is a customer relationship management platform owned and operated by LabratsAI, a legally recognized entity.
These Terms and Conditions (“Terms”) constitute a legally binding agreement between LabratsAI and all users of the Platform, including but not limited to salespersons, supervisors, managers, administrators, organizations, companies, and other authorized users.
By registering for, accessing, browsing, connecting to an organization, or using any part of the Akiya CRM Platform, you acknowledge that you have read, understood, and agreed to be legally bound by these Terms.
If you do not agree with these Terms, you must immediately discontinue use of the Platform.
2. ACCOUNT OWNERSHIP AND ORGANIZATIONAL RELATIONSHIPS
2.1 Individual Account Registration.
Each user account on Akiya CRM is registered under an individual user profile. Users are responsible for maintaining the confidentiality of their account credentials and all activities occurring under their account.
2.2 Organizational Connection.
When a user joins, connects to, is invited into, or operates under a company, organization, agency, brokerage, or business entity within Akiya CRM, the user acknowledges and agrees that certain data entered into the Platform may become accessible to the connected organization and its authorized personnel.
This includes, but is not limited to:
- Leads
- Contact information
- Follow-up notes
- Client interactions
- Activity logs
- Sales pipeline data
- Performance reports
- Uploaded files
- Property or business records
- CRM analytics
- Communication history within the Platform
2.3 Organizational Administrative Rights.
Organizations using Akiya CRM may designate authorized supervisors, managers, administrators, or executives who may access, review, monitor, export, analyze, transfer, and manage data associated with users operating under the organization.
By using the Platform under an organization, users expressly consent to such access and management rights.
2.4 Data Oversight Within Organizations.
Salespersons acknowledge that supervisors, managers, and authorized company administrators may:
- View assigned and organizational leads
- Track employee performance
- Access lead history and activity records
- Monitor productivity metrics
- Download reports and exported data
- Reassign leads or customer records
- Review communications and follow-up history
- Access organization-related CRM records
- Generate analytics and reporting dashboards
Such access is considered an essential operational feature of the Platform.
3. DATA OWNERSHIP, ACCESS, EXPORT, AND ORGANIZATIONAL RIGHTS
3.1 User-Generated Data.
Users retain ownership of personal account credentials and personal profile information. However, all business-related data entered into the Platform while operating under an organization may be treated as organization-controlled operational data.
3.2 Organization Access Rights.
When a user operates under a company account, organization workspace, or organizational structure within Akiya CRM, the organization may access and manage operational CRM data associated with that user.
This includes the right to:
- Access lead databases
- View customer records
- Export reports
- Download CRM information
- Analyze team activity
- Monitor pipelines
- Retain historical records
- Conduct internal audits
- Generate performance reports
- Transfer operational data internally
3.3 Lead and Customer Data Visibility.
Users acknowledge and agree that lead information and customer relationship data entered into the Platform may be visible to:
- Supervisors
- Managers
- Company administrators
- Organization owners
- Authorized executives
- Assigned team members
Visibility levels may vary depending on system configuration, subscription plan, company settings, permissions, and role-based access controls.
3.4 Export and Download Permissions.
Organizations and their authorized personnel may export, download, back up, print, store, and retain reports and operational CRM data associated with their organization.
This may include:
- Lead reports
- Sales activity reports
- Employee performance reports
- Contact lists
- Pipeline data
- Follow-up records
- Organization-wide analytics
- Team dashboards
- Historical records
Users acknowledge and consent to these capabilities as part of the Platform’s core business functionality.
3.5 Employee Departure and Organizational Data Retention.
If a salesperson, supervisor, manager, or other user leaves an organization, is removed from an organization, resigns, or loses access to the organization workspace, the organization may retain access to operational CRM data generated within the organization.
This may include previously entered leads, activity history, reports, notes, customer records, and organization-related performance data.
Organizations may continue retaining such data for business continuity, auditing, legal compliance, customer servicing, operational reporting, and internal management purposes.
3.6 Shared Organizational Data Environment.
Users acknowledge that Akiya CRM functions as a collaborative business environment where CRM data may be shared across authorized organizational roles.
Users should not expect organization-related CRM data entered within a company workspace to remain exclusively private from the organization’s authorized management personnel.
4. ROLE-BASED ACCESS CONTROL
4.1 Salesperson Access.
Salespersons may access data and tools permitted by their assigned role and company permissions.
4.2 Supervisor Access.
Supervisors may monitor, review, analyze, and manage salespersons and teams assigned under their supervision.

4.3 Manager and Administrator Access.
Managers, administrators, and organization owners may have broader organization-wide visibility and control.

- Internal auditing functions
4.4 Permission Configurations.
Akiya CRM may provide configurable permission systems and role-based access settings. Organizations are responsible for managing and assigning permissions appropriately.
LabratsAI is not responsible for internal misuse of permissions granted by organizations to their own personnel.
5. PRIVACY, CONSENT, AND DATA PROCESSING
5.1 User Consent to Organizational Visibility.
By joining or operating within an organization on Akiya CRM, users explicitly consent to organizational access, monitoring, processing, exporting, retention, and management of organization-related CRM data.
5.2 Compliance With Ethiopian Law.
Akiya CRM aims to operate in accordance with applicable Ethiopian laws, including the Personal Data Protection Proclamation No. 1321/2024.
Organizations using the Platform are independently responsible for ensuring that their own use, processing, storage, exporting, and management of data complies with applicable legal and regulatory requirements.
6. ACCEPTABLE USE
- Use the Platform for unlawful activities
- Enter fraudulent or misleading information
- Attempt unauthorized access to accounts or systems
- Abuse export systems or data tools
- Misuse customer data
- Violate applicable privacy laws
- Use automated scraping tools without authorization
- Share data outside authorized business purposes
7. LIMITATION OF LIABILITY
- Internal organizational disputes regarding data ownership
- Employee-employer conflicts
- Misuse of exported reports by organizations
- Internal company management decisions
- Data handling practices conducted by organizations outside the Platform
- Business losses arising from organizational data management decisions
8. TERMINATION AND ACCOUNT ACTIONS
- Violate these Terms
- Abuse the Platform
- Engage in fraudulent activity
- Violate privacy or security obligations
- Misuse exported data
- Conduct harmful or illegal activities
9. GOVERNING LAW
These Terms shall be governed and interpreted in accordance with the laws of the Federal Democratic Republic of Ethiopia.
Any dispute arising from these Terms or use of the Platform shall be resolved within the courts of Ethiopia.
10. FINAL ACKNOWLEDGEMENT
